Who this policy covers

This policy explains how Big Guy Small Batch Coffee Roasters, operated by Priyankur LLC (“BGSB,” “we,” “us”), handles information when you visit our website, place an order, use a Sample Pack or invite link, track an order, submit our contact form, or otherwise interact with us online. We are a small-batch coffee roaster based in Virginia, USA, selling nationally within the United States, with local pickup or delivery only by prior arrangement.

Information you provide to us

Depending on how you interact with us, we may collect:

• Your name, email address, and phone number
• Billing and shipping address information you enter at checkout
• The products, quantities, and totals in an order, and its fulfillment status
• Messages you send us through our contact form, and what you tell us it’s about
• Sample Pack invite or promo codes, and information tied to an invite you claim
• Any preferences or notes you give us about an order

Orders and transactions

When you place an order, we keep a record of what you ordered, the quantities and totals (including tax and shipping charged), a tracking or order identifier, the order’s fulfillment status, and communications about that order. This lets us roast, ship, and support the order, and keep the accounting and tax records a business is required to keep.

Payments — Square

Checkout is handled by Square, Inc., a third-party payment processor. When you pay, you are taken to a Square-hosted payment page or a Square Payment Link; Square collects and processes your payment card details directly. Complete payment card numbers are not entered into, and do not pass through or get stored in, BGSB’s own website or database — Square tells us the result of a payment (such as whether it succeeded and a reference note), not your full card number. We do not control and are not responsible for how Square itself handles the data it collects; Square’s own privacy policy governs that.

Analytics

We use Google Analytics (GA4) to understand how people use our site — for example, pages viewed, sessions and interactions, general browser or device information, approximate geographic location, referral or traffic source, and cookies or similar identifiers GA4 sets in your browser. We use this to measure site performance, troubleshoot problems, improve the customer experience, and understand how customers find and use BGSB. We do not send payment card information or the contents of your contact-form messages to Google Analytics.

How we use information

We use the information above to:

• Fulfill, ship, or arrange pickup/delivery of an order
• Communicate with you about an order, an invite, or a message you sent us
• Administer Sample Pack and invite programs
• Let you track an order
• Support an ongoing subscription/customer relationship (see below)
• Prevent fraud and abuse and keep our checkout secure
• Keep accounting and tax records
• Improve our website and understand how it’s used, including through analytics
• Comply with legal or regulatory obligations, and protect BGSB and our customers

Who we share information with

We share information with service providers who help us run BGSB, including:

• Payments: Square, to process your payment
• Hosting and infrastructure: our website hosting provider
• Database: our database provider, to store order and account records
• Analytics: Google Analytics
• Email and customer communication: our transactional email provider, to send order and account emails
• Shipping and delivery: shipping carriers, to deliver your order
• Accounting, legal, and other professional services as needed to run the business

BGSB does not sell customer lists or payment information for money.

We use cookies and similar technologies for basic site functionality, security where applicable, and analytics as described above. Most browsers let you view, manage, or delete cookies through their settings.

How long we keep information

We keep information for as long as we need it for the purposes described in this policy — for example, for as long as your account or order history is active, and afterward for as long as needed to meet accounting, tax, or legal obligations.
